Introducing Meadow Checkout

Between payment gateways not built for higher ed, legacy systems that haven’t been updated in years, and department-specific workarounds, collecting non-tuition payments has always been more complicated than it should be.

Parking fees and fines, event costs, ID replacements, course supplies, gratuation regalia — each one might live in a different system, owned by a different team, reconciled in a different spreadsheet.

Meadow Checkout is a better way.

It gives any department on campus a single, simple way to collect payments for things that don’t appear on a typical student bill, like departmental deposits, donations, athletics, parking and other fees.. non-tuition payments. These payments, receipts, and reporting all live inside Meadow where everything else already is.

Two ways to collect

Meadow Checkout has two modes — and you can use either one, or both, depending on what you're collecting and who needs to pay.

Public links get added to a browsable storefront of non-tuition items that anyone on campus can access — students, faculty, staff — and pay on their own. You create the items, set your prices, publish. The storefront is accessed by students and guests alike through your pay.school.edu link. Payers browse, add to their cart, check out, and get an email receipt for their records. No back-and-forth, no manual invoicing.\

Payment links are for items that shouldn't be in a public catalog, like event fees, room rentals, trip fees, or anything that only applies to one person or group. You generate a private link for a specific item and share it with whoever needs to pay. They open the link, see exactly what they owe, and check out. Simple as that.

Everything in one place

Because Meadow Checkout is built seamlessly into Meadow, your orders, receipts, and payment records don't end up somewhere separate. And unlike generic payment tools, the fees are passed to the payer — so if you price an item at $75, you collect $75. No more reconciling why your deposits don't match what you expected.

Every transaction flows into the same reporting and reconciliation view you already use for Meadow Pay. No exports, no cross-referencing, no extra vendor to log into.

"Having everything in one location makes creating the site exceptionally easy." — Cheryl, Upper Iowa University

Easy to set up, easy to use, easy to report

Adding items takes just a few clicks. Give it a name, set a price, assign a category, and choose whether it should be available as a public or private link. Any department can be ready to accept payments in minutes — no long onboarding process, no support ticket to get started, and no hunting through menus trying to figure out where something lives.

Reports are just as straightforward. When a report is ready, the people who need it can access it directly inside Meadow — no separate login, no email telling you to go retrieve it somewhere else.
