Pre-collections

Pre-collections that bring students back

Meadow resolves past-due balances end to end, while your team bills for next term.

Pre-collections is the step before collections

Once an account reaches a third-party agency, you recover a fraction of the balance and lose the student for good. Pre-collections is the window before that when students are past due but still reachable. Meadow works that window as a fully branded extension of your office, not a separate third-party.

How University of the Pacific recovered $400K+ in nine months — and cut past-due A/R in half

“I’m not having to sit here for the next eight hours and package envelopes for 110 students that need a 30-day letter. That alone would take me up to a day and a half depending on how big the population was at the time.”

Frequently asked questions

Is Meadow a collections agency?

No. Meadow works past-due accounts as an extension of your office, under your school's name, before anything goes to a third-party agency. Students hear from your office, not a collector, and get a plan they can manage.

Do we have to switch payment systems to use this?

No. Pre-collections runs alongside the billing and payment system you already use. If you want Meadow for current-term billing too, see Retention.

How old can a past-due balance be?

Meadow can work any balance, regardless of how old it is. We find the sooner we begin outreach the better, but we have helped schools recover balances that are 7 years old.

How many days do you work an account for?

Our typical communications cadence runs for 180 days but we are able to adjust as needed.

Which SIS platforms does Meadow work with?

We work with every major SIS: Ellucian Banner, Ellucian Colleague, Jenzabar, PeopleSoft, Workday, Anthology, Student First, PowerCampus, and CAMS. Don't see yours on the list? Ask us if we can integrate.

Why do students open Meadow's messages when they ignore ours?

We send highly targeted and personalized messages with clear subject lines and CTAs. We recognize where students are most likely to respond based on past behavior and follow up with them there. All communications are sent from your office by email and text, and link straight to their bill.

Do students need to download an app?

No. Students and parents pay from the school-branded link in any text or email, by card, bank account, Apple Pay, Google Pay, or Transfermate (international wire).

Does Meadow offer payment plans?

Yes. Students set up flexible payment plans of up to 24 months on their own, with autopay. You set the due dates and guardrails.

What happens if a student misses a plan payment?

Meadow flags the account in your dashboard, so your team can step in before the balance grows. If the student is on autopay, Meadow also emails them and anyone they've added to their account right away.

What is the Student Billing Agent?

It answers students' and parents' account-specific billing questions by text, in their native language, at any hour, following your office's policies. Every conversation is logged, and anyone who needs a human is routed to the right office. It takes routine questions off your team's plate and ensures that students get answers when they need them.

How fast will we see results?

Usually within days. At Molloy University, one student paid in full and two set up payment plans the same day the first messages went out. The majority of institutions see 30%+ recovery within 60-90 days.

How does pricing work?

We offer two options that vary based on school size. The first option is a standard flat fee, paid annually upfront. The second option is a success fee, invoiced monthly, which is entirely performance-based and comes with no upfront cost. Book a demo and we can discuss what makes the most sense for your institution.

Is Meadow secure?

Yes. Meadow is PCI DSS compliant, NACHA compliant, and SOC 2 audited, has a pre-completed HECVAT, and screens every payment for fraud. Documentation is in our trust center: https://trust.meadowfi.com/
